can we get a consensus on 'Spend A Penny' spend. Jo is asking for us to agree it as the MH board, good to support with this. Some funding applications will ask for this, i.e. should we be successful in our revised application for the Green Energy Grant, it will be signed by me.
MH (and Cube) can cope with the spend. Just spoke to Helen (bookkeeper) today, she is confident looking at historic data. Cube has some historic money owed that can be donated towards this fund. I'll update on this after our Friday meeting.
Helen has also suggested we have our MH AGM soon, she is aligning the data now. I will check in with Ryan regarding his availability, we are suggesting week of July 15th, so we can announce with a 2 week lead-in and do before school hols. I'm also not clear on the precise protocol here.
The precedents I do feel aware of are :
1) The model with Cube Accounts i.e. decisions on spending are made by the workforce as a whole and the final step is simply establishing if the funds are available.
It seems funds are in this case - though is the issue that the proposed amount without contingencies is roughly half the account.
2) Previous spends on the building from MH account haven't been brought to the directors as a whole, as far as I know - though may have been the case before I was on the board. Are we able to say what the purpose /role is, if different / beyond the accounts model?
I have had some concerns that Jo has not engaged with the general workforce very well in the process so far - not putting meetings with tradespeople in the rota for visibility, not calling dedicated meetings, diving into pulling plaster - and appliances - off walls etc without inviting other vols to be a part of this process in either discussion or physical activity. Other vols have helped on one session, but visibility only happened when others really pushed for this / sorted this for her. I have much confidence in many of her decisions, and good deals that I am aware of, but the concern is communication to the Cube generally.

Thanks so much for responses so far. I have had concerns over spend but less now with revised budget. Agree that the wrecking of tiles etc was perhaps a bit ill advised but should not puncture the drive to get this work done. The men's loos are not fit for purpose as is and we need storage. We need to focus on energy efficiency and better access. This is a start. Hopeful we can get some traction with a re-submission to WECA and a fundraising push, ref. the email just in for the weekly mail-out.
Folks seem to agree that it would be good to happen. Don't forget Cube is doing well and should donate some funds towards this. As mentioned there are also some historic [owed] funds that will be transferred when in-coming. Helen is working on this.
There have been dedicated meetings on options, with comprehensive minutes. There will be a focus on this at next Monday meeting, to my understanding. (Libby and I) can work with Jo to upload and update building related work to a specific folder all workers have access to (with no sign-in), share link, followed by less detailed updates as a solution if felt updates are too wordy. x

all - is there an answer to the question : what is the precise role of MH Directors in this?
Re: communication with the Cube body, I do advocate for dedicated meetings, and note the lack of them previously.
I do think any live project that affects all should be an ongoing agenda item at Monday Meetings to provide easily consumable updates for all, but also think something of this magnitude should have dedicated meetings open to all for the meat of it ( and not hijack general meetings if poss ).
As far as I know there has only been one meeting called in the whole process so far, which is something of a concern - though not really a major one practically as positive progress has happened in informal settings, but is something we should and can do better.

signing off on a grant application or spending decision is a technical matter, we do what the cube instructs. it's not for the committee to evaluate, so long as the spending does not violate MH constitution.
for example one of the few times MH committee made an actual decision was at the start of the pandemic closures, when we agreed to stop the cube's rent till reopening. we were advised by ryan that this was necessary for the integrity of the accounts. but it was also done as part of cube process, not a separate decision in itself.
the cube is anyway a member of MH committee so there's no real separation, although it looks like the cube has not been included on this list? if so that does go against MH consittution.
the only convos we should be having here are about AGMs & existential emergencies.
AGM - i'm unsure on week of july 15th, do go with what works for others.

I'm not sure that is particularly relevant to what MH role is here, but is colour to the position we are at.
I think generally have managed to get to a place where initially extremely high proposed spends have been reduced to just high proposed spends, and there is some understanding - plus support - from the general Cube body.
There have been no objections on this list, but also not much active response.
I'm not making an objection as I understand it at this point, but suggest we would be wise to make the opportunity for at least one dedicated Cube wide meeting to fully go though the proposals in detail and establish buy in before signing off?

can we get a consensus on 'Spend A Penny' spend. Jo is asking for us to agree it as the MH board, good to support with this. Some funding applications will ask for this, i.e. should we be successful in our revised application for the Green Energy Grant, it will be signed by me.
MH (and Cube) can cope with the spend. Just spoke to Helen (bookkeeper) today, she is confident looking at historic data. Cube has some historic money owed that can be donated towards this fund. I'll update on this after our Friday meeting.
Helen has also suggested we have our MH AGM soon, she is aligning the data now. I will check in with Ryan regarding his availability, we are suggesting week of July 15th, so we can announce with a 2 week lead-in and do before school hols. Let me know how you are fixed, can do online if not in-person. x

the role of microplex holdings committee (there are no directors as such) is definitely not to make decisions on cube spending, or to have conversations about those decisions as a separate department of the cube, so this discussion is straying into risky territory by being had here.
signing off on a grant application or spending decision is a technical matter, we do what the cube instructs. it's not for the committee to evaluate, so long as the spending does not violate MH constitution.
for example one of the few times MH committee made an actual decision was at the start of the pandemic closures, when we agreed to stop the cube's rent till reopening. we were advised by ryan that this was necessary for the integrity of the accounts. but it was also done as part of cube process, not a separate decision in itself.
the cube is anyway a member of MH committee so there's no real separation, although it looks like the cube has not been included on this list? if so that does go against MH consittution.
the only convos we should be having here are about AGMs & existential emergencies.
AGM - i'm unsure on week of july 15th, do go with what works for others.

Re: communication with the Cube body, I do advocate for dedicated meetings, and note the lack of them previously.
I do think any live project that affects all should be an ongoing agenda item at Monday Meetings to provide easily consumable updates for all, but also think something of this magnitude should have dedicated meetings open to all for the meat of it ( and not hijack general meetings if poss ).
As far as I know there has only been one meeting called in the whole process so far, which is something of a concern - though not really a major one practically as positive progress has happened in informal settings, but is something we should and can do better.

Thanks so much for responses so far. I have had concerns over spend but less now with revised budget. Agree that the wrecking of tiles etc was perhaps a bit ill advised but should not puncture the drive to get this work done. The men's loos are not fit for purpose as is and we need storage. We need to focus on energy efficiency and better access. This is a start. Hopeful we can get some traction with a re-submission to WECA and a fundraising push, ref. the email just in for the weekly mail-out.
Folks seem to agree that it would be good to happen. Don't forget Cube is doing well and should donate some funds towards this. As mentioned there are also some historic [owed] funds that will be transferred when in-coming. Helen is working on this.
There have been dedicated meetings on options, with comprehensive minutes. There will be a focus on this at next Monday meeting, to my understanding. (Libby and I) can work with Jo to upload and update building related work to a specific folder all workers have access to (with no sign-in), share link, followed by less detailed updates as a solution if felt updates are too wordy. x
